Leads

Leads are phone numbers provided to Recrubo by various sources. As soon as the lead comes in to the platform, Recrubo will try to contact the lead on its preferred chat channel.

The Leads Table in Recrubo provides an overview of the generated leads, including essential details like their contact information, the process flow they are part of, the message templates sent to them, and any potential errors encountered. A phone number can occur in the leads table multiple times from different sources & interactions that generate leads. Below is a detailed breakdown of the table based on the available fields and context.

A candidate can be attached to multiple leads but Recrubo will always show the candidate's source based on a last touch attribution model on the candidate. Last touch attribution describes that the most recent source of a candidate is the most relevant source.

Table Columns

This chapter describes all possible fields in the leads table.

Field
Description

Phone Number

Every lead must have a phone number, which serves as the primary identifier. If a phone number is invalid we will still show the lead in the table with an error attached.

Platform

This column indicates the platform from which the lead originated, such as a specific marketing platform, social media source, or lead form on your job site.

Campaign

If the lead is part of a specific ad campaign, the campaign name will be displayed here. If the lead was generated by a lead form on a job site connected to a campaign the campaign will be tracked in the UTM column.

Error Status

This column reflects whether any errors occurred during the proces of sending the lead a templated message. You can find the error message by hovering over the label.

Message Template

This shows which message template was sent to the lead.

Flow

Displays the Flow that was initiated for the lead, clicking the flow label will open the flow.

Created At

This column records the date and time the lead was generated in the system.

Candidate

Indicates whether the lead has been converted into a candidate. Clicking a green candidate logo will open the candidate.

UTM Source

If the lead was created via a job site lead form Recrubo attempts to fetch the UTM data from the website.

UTM Medium

If the lead was created via a job site lead form Recrubo attempts to fetch the UTM data from the website.

UTM Campaign

If the lead was created via a job site lead form Recrubo attempts to fetch the UTM data from the website.

UTM Term

If the lead was created via a job site lead form Recrubo attempts to fetch the UTM data from the website.

UTM Content

If the lead was created via a job site lead form Recrubo attempts to fetch the UTM data from the website.

Filtering

The Leads Table supports filtering on most columns to streamline data analysis and selection processes. Filters are available at the top of the page, allowing users to quickly and efficiently narrow down the list of leads.

This filtering functionality can be especially useful in:

  • Lead Analytics: Gaining insights into lead performance and trends.

  • Targeted Actions: Creating easy selections of leads to act on, based on specific criteria such as location, status, or priority.

By applying filters, users can focus on the most relevant leads and perform actions more effectively.

Editing columns

The Lead Table in Recrubo provides the ability to customize the displayed columns to suit your workflow and focus on the data most relevant to your recruitment processes. You can configure which columns are visible by selecting or deselecting certain data fields. Here’s how to manage the columns:

Accessing Column Settings

  • At the top right of the Lead Table, you will see an icon that resembles a gear (βš™οΈ).

  • Click on this gear icon to open the column configuration options.

Toggling Columns

  • To show a column, check the box next to the corresponding field (e.g., Candidate or UTM Source).

  • To hide a column, uncheck the box.

Each selected column will appear in the Lead Table, giving you quick access to that information. Columns that are unchecked will be hidden from view, reducing the amount of data on screen and simplifying your workspace.

Defaults

By default all columns except the UTM columns are enabled.

Broadcast

Up on enabling the selection a Broadcast button will appear. This button can be used to send leads that we were unable to connect to a flow a new message to start the conversation.

This feature is especially useful for correcting misconfigurations in the deploy dialog.

Requirements

To broadcast a message to your leads you need two things

  • A message template to send to the leads.

  • A flow to follow up on the response from the leads.

Sending a broadcast

First make a selection of the leads you would like to send a message to using filtering & the selection option. After your are satisified with the selection you can click the Broadcast button to open the wizard.

The wizard will prompt you to verify the leads you selected, if you made any mistakes you can correct them here by disabling invalid leads. After verifing the leads you need to select a follow up flow and a templated message to send to the lead.
